Update regarding the use of our Facilities by On-Track Retreats

To All Residents
On Track Health retreat using our facilities - Update


Many of you may be aware that the hotel had a booking by a company called On-Track Retreats which required the use of the community facilities. They arrived 13 days ago, were booked into the hotel as guests, and have been utilizing our facilities for training and exercise while conducting their business. The Association Committee was never consulted or asked about the feasibility of this arrangement. This information came to light only through a discussion between the Hotel's Maintenance Manager and our Facilities Manager.


Whilst initially the AC agreed to monitor the situation it became apparent this week that their activities were not compatible with the residents who own these facilities. Also, the community was clear in its views expressed to the AC that this use of the facilities was not acceptable, even if they were guests staying in the hotel.


So, yesterday (Thursday) three members of the Association Committee met with the GM of the Hotel and expressed our concerns and those of the community. We advised him that this use of the facility was a breach of the By Laws specifically 9.1. Chase Mullen (GM) agreed the Hotel had not followed procedure as regards By Law 9.1 and he acknowledged that communication could have been better!


We advised him that we wished all activities from this company to
cease, and we will instruct our BCS Manager to issue a formal breach notice to the hotel today (Friday) requesting that all activities with this company around the use of our community facilities cease immediately. Hopefully this will be the end of the matter, however, it will be up to him to respond to the notice. The Association Committee will keep you informed of that response if it does not concur with the community’s wishes.

The Association Committee is continually reviewing our energy usage and as stated previously our energy costs have increased from $3,500 to $5,500 per month. An obvious place to start is rooftop Solar. Four quotes have been received with prices ranging from $22,750 to $35,000. All quotes consist of a 30kw system and approximately 78 panels. It was recommended not to install a larger system until we decide to install batteries. At this Proposed Rooftop Solar Installation stage batteries are not feasible due to Cost Any reasonable battery installation would not give us enough power to run our community facilities for 12 hours at night. The maintenance committee, after much discussion, decided to go with Allgreen Solutions with a Enphase Energy System. At a cost of $34,790. This system is not the cheapest however it stands above the rest. This system has inverters under each panel and eliminates the need to have a large inverter wired near the meter. Each panel can be monitored, no high voltage so no overheating, highest energy production, 25year warranty on panels and inverters, highest efficiency in all weather conditions.  The AC has approved this recommendation from the Maintenance committee and it will be put to the community in the New Year for approval via a General Meeting.
