HOW TO VOTE


There are two ways to vote


By Email or mail

If you have the paperwork for the General meeting, then towards the back of the Notice, is your voting form.

Complete this form and send it to our Strata Managers at bcs_centralcoast@bcssm.com.au or the address on the form.

to vote online you must have received an email notification of the meeting

within your email you will have a link which you need to click, as shown below. (Note this is an old EGM notice shown)


LETTER FROM THE ASSOCIATION COMMITTEE


Dear Resident

Later this week you will receive via email or mail, a notification of an Electronic Extraordinary General Meeting. This meeting will ask for your vote on several matters. Some new and some procedural. 

We ask you to vote on all matters and do this as soon as possible. Voting is simple and easy. On the first page of the email, you will receive there is a link to an electronic voting form. Just follow the instructions and when finished submit your response. For those receiving this information by mail, just find the voting paper at the end of the documents fill it out and send it back as directed. These instructions are on our website however if you have not received them, please contact BCS (Strata Manager) at

We are asking you to vote on three important issues.

  1. Solar installation
  2. Community room upgrade
  3. Front entrance upgrade. 


The first two are self-explanatory in the meeting papers. And while strictly speaking these decisions could be made by the Association Committee, we have always taken the position that we wish the community to be involved in the major decisions of the Association Committee.

The third item may need some explanation and some clarification around some misleading feedback we have received.

The front entrance upgrade came about following a motion at last year’s AGM in which it was proposed that a working party be formed to look at repair/replacement or upgrade of the front entrance signage and construction. A working party was formed from resident owners and they examined what we have and eventually came up with the design as attached to the meeting papers and as shown on our website. We sincerely thank those owners who spent many hours coming up with the upgraded design.

This was a working party not a sub-committee of the Association Committee. As such, their job was to gather information, form a plan and present it with costs to the AC. This was done. The Association Committee queried and modified some items and now this is passed onto the community to make the decision.

Originally, we intended to hold a “town hall” meeting but due to low response when we did this in relation to the indoor pool ventilation it was decided that this would not be done regarding this matter. We believe we have provided all the information necessary to make an informed decision. 

The working party was not authorized to make the final decisions. Its role was to collect all relevant information, come up with a plan and present it to the AC, which would present it to the community once they were satisfied with the information. 

There has also been some feedback as to how much the hotel will be contributing to this project. This entrance upgrade will be paid for by the Community Association of which the hotel is a part. The hotel precinct, the golf club and Lot 4 are all owned by the one owner and they pay 8.6% of total levies. These owners pay that percentage of all our expenses e.g sewer, landscaping, maintenance as well as community leisure facilities. 

While it is understandable that there is a desire for the hotel to contribute more, the payment amount is determined by a formula established by NSW Fair Trading. The hotel precinct cannot be separated from the Community Association unless they decide to depart, and we consent to their exit. So regardless of personal opinion, the connection remains in place
.

The hotel and golf course have been approached and asked to update the banner signs at the front entrance and the billboard signs on Pollock Ave. Any upgrade will be at their own expense. If they choose not to do this they will be removed permanently.

The Association Committee is continually reviewing our energy usage and as stated previously our energy costs have increased from $3,500 to $5,500 per month. An obvious place to start is rooftop Solar. Four quotes have been received with prices ranging from $22,750 to $35,000. All quotes consist of a 30kw system and approximately 78 panels. It was recommended not to install a larger system until we decide to install batteries. At this Proposed Rooftop Solar Installation stage batteries are not feasible due to Cost Any reasonable battery installation would not give us enough power to run our community facilities for 12 hours at night. The maintenance committee, after much discussion, decided to go with Allgreen Solutions with a Enphase Energy System. At a cost of $34,790. This system is not the cheapest however it stands above the rest. This system has inverters under each panel and eliminates the need to have a large inverter wired near the meter. Each panel can be monitored, no high voltage so no overheating, highest energy production, 25year warranty on panels and inverters, highest efficiency in all weather conditions.  The AC has approved this recommendation from the Maintenance committee and it will be put to the community in the New Year for approval via a General Meeting. More information will be provided shortly.

Suburb Renaming update The NSW Geographical Names Board has identified that the proposal to establish the new suburb of Kooindah Waters as lodged with Council has outstanding items in meeting the requirements of the NSW Address Policy and User Manual 2021 at this stage. A further submission addressing these items will be made to Central Coast Council. Association Committee
